Access Your Roster
Learn how to access your seminar roster through the instructor portal, print a roster for class use, and export email addresses when you need to communicate with enrolled participants.
Overview
Your roster is one of the most important tools you will use before and during your UDOLLI seminar. It helps you confirm who is enrolled, communicate important class information, and prepare for the needs of your participants.
Because the roster contains participant contact information, it must be handled carefully. Roster information should only be used for communication directly related to your UDOLLI seminar. It should not be used for unrelated messages, personal outreach, business promotion, solicitation, or communication after the seminar that is not directly connected to the course.
Important privacy reminder: Do not share, forward, post, or otherwise distribute your class roster. When emailing the class, place participant email addresses in the BCC field so email addresses are not visible to other participants.

Before You Begin
You will need the username and password provided in your Welcome to the Term email from UDOLLI staff. This login is used to access your assigned seminar information in the instructor portal.
Step-by-Step Guide

Go to the instructor portal.
Open the instructor portal directly at https://continuingeducation.udayton.edu/udayton/instructor/SignIn.aspx .
You may also start at the UDOLLI website: go.udayton.edu/UDOLLI. Scroll down to Moderator Resources, then select Access the Instructor Portal.

Sign in.
Enter the username and password provided in your Welcome to the Term email from UDOLLI staff. Then select Sign In.

Choose “My Courses.”
After signing in, select My Courses to view the seminar or seminars assigned to you.

Select your seminar title.
Click on the title of your seminar to open the course details and roster information.

Confirm the enrollment view.
In the upper left area of the roster screen, make sure the Enrollments setting is showing All Enrolled, not All. This view shows your current class roster.

Print your roster, if needed.
To print a roster, click the dark blue Print button in the upper right part of the screen. Printed rosters should be kept secure and used only for seminar-related purposes.

Export the roster to email participants.
To send an email to participants, first export the roster as a spreadsheet by clicking the dark blue Export button in the upper right part of the screen.
Go to your Downloads folder and look for the exported file, which will be named Roster. Open the file and adjust the columns as needed so you can view and copy the email column.

Use BCC when emailing your class.
Copy the participant email addresses from the exported roster file. When sending the message, place your own email address or udolli@udayton.edu in the primary To field. Paste the participant email addresses into the BCC field.

Sign out.
When finished, select Sign Out in the upper right corner of the instructor portal.
Using the Roster Responsibly
Moderator communication is an important part of a positive seminar experience. You may need to contact participants before the first session, share preparation instructions, send reminders, provide follow-up materials, or communicate a course-related change.
Appropriate Uses
- Welcoming participants before the first class.
- Sharing seminar-related instructions or preparation materials.
- Sending class reminders or updates.
- Providing seminar handouts, links, or follow-up resources.
- Communicating schedule, location, or Zoom-related information.
Do Not Use the Roster For
- Personal business promotion or solicitation.
- Messages unrelated to the seminar.
- Political, religious, commercial, or personal campaigns.
- Adding participants to a mailing list without their voluntary request.
- Sharing participant names or email addresses with others.
Best practice: Keep messages brief, clear, and seminar-related. When sending to the full class, use BCC every time.
Emailing Your Class
When emailing your seminar participants, please use the following structure:
- Place your own email address or udolli@udayton.edu in the To field.
- Place participant email addresses in the BCC field.
- Use a clear subject line that includes the seminar name when possible.
- Keep the message focused on seminar information.
- Do not include private participant information in the body of the email.
Avoid using CC for class emails. CC makes every recipient’s email address visible to the entire group. BCC protects participant privacy.
Common Questions
What should I do if I cannot sign in?
First, check your Welcome to the Term email from UDOLLI staff to confirm your username and password. If you still cannot sign in, contact UDOLLI for assistance.
Why does the enrollment setting need to say “All Enrolled”?
The All Enrolled view shows the participants currently enrolled in your seminar. This is the roster view moderators should use for class communication and preparation.
Can I email participants directly from the instructor portal?
For this process, you should export the roster as a CSV file, copy the participant email addresses, and send your message from your email account using BCC.
May I use the roster to invite participants to another event or mailing list?
No. The roster should only be used for communication directly related to your UDOLLI seminar. Participants may voluntarily request to be added to a separate mailing list, but moderators should not use the class roster to add participants automatically or solicit them for unrelated purposes.
What should I do with a downloaded or printed roster after the seminar?
Keep roster information secure while needed for the seminar. When it is no longer needed, delete downloaded roster files and securely dispose of printed copies.
